The WhatsApp Business app is a single-operator inbox on a phone. The WhatsApp Business Platform (API) is Meta’s official product for teams that need a shared inbox, approved templates, and campaigns on a dedicated business number. Mixing the two on the same number does not work.

The short answer

Stay on the WhatsApp Business app if one person answers every chat from one device and you do not need bulk templates or a campaign calendar. Move to the API when two or more people must see the same conversations, when you need message templates after the 24-hour customer-care window, or when you want campaigns and contact lists that are not trapped on a handset.

What each product is

WhatsApp Business app is the green business icon in the app store. It adds a catalog, quick replies, and labels, but it is still a phone-centric product. One number lives on one primary device. A linked computer can help, but it is not a multi-agent helpdesk.

WhatsApp Business Platform (the Cloud API) is a server product. Messages go through Meta’s official APIs. Software such as PropFlow can show a team inbox, store contacts, and send template messages that Meta has approved. The number cannot also be registered on the consumer Business app.

What you need before API tools work

Official API access is not a toggle inside the consumer app. In practice you need:

  1. A verified Meta Business Account.
  2. A phone number that is not registered to personal WhatsApp or the WhatsApp Business app.
  3. A Facebook Page for the brand (PropFlow also requires a Page for Facebook publishing; Instagram must be a Professional account linked to that Page).
  4. Template messages submitted and approved if you will write to customers outside an open conversation.

Do not try to “connect” a number that is still logged in on someone’s phone. Meta treats that as the same identity. Disconnect the consumer app first, then register the number on the Platform.

Templates, the 24-hour window, and campaigns

When a customer messages you, you can usually reply freely for 24 hours. After that, businesses on the Platform send utility, marketing, or authentication templates that Meta has approved. The Business app does not give you that campaign layer. If your team still forwards Excel lists into a phone, you are outside the official model and you risk the number.

How this fits with social publishing

Most “WhatsApp CRMs” do not schedule Instagram Reels. Most social schedulers do not give you a WhatsApp inbox. Who should not migrate yet
